Math Email Migration (Fall 2016)

We will keep this page with updated information about the migration process.

Explanation

We have taken steps to migrate the Math email system to the central university mail system.

Most members of the Department of Mathematics had two email accounts:

  1. One on the Math computer system with an address of the form (note the "math" in it):
    username@math.northwestern.edu
    One way to access your Math email account is by using the Math Webmail:

  2. The other account is on an NU system:

    You can access your NU email account by using the NU Webmail:

In the process of migration those two email accounts have been combined into one, with all users' email being handled by the NU system. After that you should be able to receive email sent to both, your NU address, and also to your Math email address, with all email sent to any of those addresses landing in the same place (your MS Exchange account for faculty and staff, or your Northwestern Google account for students).

When is the email migration going to occur?

The migration happened on Monday Dec 19th, 2016.

Choice of primary address

For sending email you have a choice of primary email address, it can be either your Math email address (with the "math" in it), or your university email address (without "math"). The choice determines which address is shown in the "From:" field of the outgoing email.

(Note: This information was collected and used at the time of the migration. If you didn't enter a choice in the database your "math" email address was used as primary by default. For future accounts, contact your system administrator.)

Note: If you have a student Northwestern Google account you may need to setup your "From:" address using the settings of your Google account: Settings > Accounts and Import > Send mail as (see below).

Mail forwarding

Mail forwarding set on the Math computer system will stop working after the migration and will have to be set on the NU system holding your email account instead.

- On the MS Exchange Server: If you are using the Outlook Web App, click in the settings button (the little wheel on the upper right corner), select "options" and click "organize email" on the left margin. That opens a page where you can add rules to handle your incoming email. For forwarding email click "inbox rules" on the header, click the plus sign and select "Create a new rule for arriving messages..." The first page says "new inbox rule", "Apply this rule...", a space to put a name to the rule, and selection tabs. If you want to forward all your email, in the tab that says "When the message arrives, and:", select "[Apply to all messages]". In the tab that says "Do the following:" select "redirect the message to...", and in the window that pops up you can write the forwarding address. Note that forwarding/redirecting still keeps a copy of every message on the server. You can add additional rules to e.g. delete the message that has been forwarded, although such rule won't really delete the message, it will just place it in the "Deleted items" folder - which may take disk space until it is emptied.

- On the Northwestern Google account: Go to "settings", "Forwarding and POP/IMAP", "Forwarding". Click "Add a forwarding address", and write the address you want to forward to. Click next and follow the instructions. You may need to click the "Forward a copy of incoming mail to" button and decide whether you want to keep a copy on your account.

Does the Math mail aliases system still work?

Mail aliases such as the one used for the list of recipients of Math calendar announcements have already been replaced with mailing lists on the NU listserv. Same with list aliases for people attending conferences.

Other aliases have been replaced with MS Exchange server "Group/Distribution lists."

Will I still be able to access my old email kept on the Math server?

Yes, but ONLY from inside the Math subnet, and ONLY for reading email. You can use the same method you used before to read your email, although only for reading (NOT sending) email. The following are the parameters for connecting to our imap server:
Incoming mail server:   imap.math.northwestern.edu
Port for incoming mail:   110 (POP), or 993 (IMAP over SSL), or 143 (IMAP) with STARTTLS.

How do I transfer my addresses from Math Webmail to...

Both Squirrelmail and roundcude have mechanisms to export their addresses books to a file in CSV or vCard format. Then that file can be imported in a new email reader. The details depend on the email reader chosen.

How do I transfer my Math email folders to the MS Exchange server?

This is a way. Using Outlook (the MS Office program, not the OWA), setup in it your MS Exchange account, and add a second imap account for your Math email account (while it still works). Both accounts should be visible in Outlook. Then move or copy folders from one to the other.

If you already have an IMAP client (e.g. Thunderbird) setup to handle your Math email account, another way is to setup on the client a new account for your NU email account (see below), and move/copy folders between accounts as indicated above.

How do I setup an IMAP client for my NU email account?

Since there are variety of email clients out there, rather than giving specific instructions for a particular client and version, here are the values of the parameters that must be entered:
Incoming mail server (IMAP):   imap.northwestern.edu
Port for incoming mail:   993
Connection security:   SSL/TLS
Authentication method:   Normal password
User name:   (your NetID)
On Android select "SSL (Accept all certificates)"  
 
Outgoing mail server (SMTP):   smtp.northwestern.edu
Connection security:   SSL/TLS
Port for outgoing mail:   587 (if it does not work try 465)
Authentication method:   Normal password
User name:   (your NetID)
On Android select "TLS (Accept all certificates)"

I have a student ...@u.northwestern.edu account, how do I send mail as ...@math.northwestern.edu?

Get to your (Gmail) ...@u.northwestern.edu account, select:

Settings > Accounts and Import > Send mail as

Click in "Add another email address." Write your math email address ...@math.northwestern.edu in the space reserved for that purpose and click "Next Step." In the next screen use the following parameters:

SMTP Server:imap.northwestern.edu
Port:587 (if does not work try 465)
Username:(Your NU NetID)
Password:(Your NU password)
Secured connection using: SSL

Click "Add Account", and you will receive a confirmation email.

After that you should be able to select ...@math.northwestern.edu as your outgoing email address.
